Broker of Record Letter
A broker of record letter tells a carrier that you have appointed a new agent or broker for the policies you list and withdraws the authority of the prior one. This free generator produces a letter you can copy, print, or save as a text file.
Runs entirely in your browser. Nothing you type is sent to this site or anyone else. Copy, print, or download the result.
What this letter must include
- The named insured exactly as it appears on the policies
- Each policy to be transferred, by line of coverage and policy number (a BOR letter is carrier-specific, so one letter per carrier)
- The new broker's full legal name, address, and ideally producer license number
- An effective date
- A clear rescission of any prior broker or agent of record designation for those policies
- A statement that the letter is not a cancellation request
- An authorized signature, title, and date, on company letterhead if you have it
Questions
Can the prior broker contest a BOR letter?
Many carriers give the outgoing broker a rescission window, commonly 5 to 10 business days, during which the policyholder can withdraw the letter. Expect a call from the outgoing broker during that window. Confirm the applicable window with the carrier.
Does a BOR letter move the policy or just the commission?
It changes who the carrier recognizes as the agent of record for the listed policies. The policy itself does not change; the new broker services it and receives future commission.
Should I list every policy?
List only the policies you intend to move. A BOR letter is carrier-specific, so you will send a separate letter to each carrier.
What if I want the new broker to market my account but not take over the current policies?
That is a market assignment, not a BOR. Say so explicitly; a BOR letter sent to a carrier during a marketing exercise can block the outgoing broker from quoting.
